Why 'in stock' rarely means shipping today
How many times this month did a supplier tell you a part was in stock, then go quiet the moment you asked when it could ship?
The pattern is all too familiar. A listing shows the part number as available, so you start making calls. By the third supplier, one has stopped responding to emails, another promises a quote in two to three business days, and the last is still "checking with the warehouse" for a callback that never comes.
Buyers have stopped trusting the word "in stock" from any supplier they haven't already tested. It’s not surprising, given how the industry actually works.
The industry runs on ghost listings
A lot of aviation sites show inventory that was last accurate months ago. Suppliers list part numbers they used to have, distributors have long OEM lead times, and the trail usually ends at a broker's spreadsheet that hasn't been reconciled in a quarter.
Sometimes it goes a step further. Companies list catalogs without a real distributorship in place. On the rotable side, some sellers list material from airframes they don’t own, then scramble to locate it only after a buyer asks for it.
By the time your PO gets confirmed, the "in stock" tag doesn't hold up.
Buyers already work around this by keeping a private list of suppliers they actually trust. The trusted names get called first, new names get tested with small orders, and no critical AOG plan hinges on a "same-day" claim from someone unproven.
What "on the shelf" should mean
When a supplier says a part number is in stock, three things should be verifiable on a single phone call:
The part is physically at the supplier's facility, right now
Someone on the sales team can confirm the condition it's in
The paperwork on file matches the physical unit
The baseline isn't a high bar, and it's what "in stock" was always supposed to mean.
What happens when a buyer calls DSC on a listed part number
When you call about a part number listed by DSC, a member of our sales team verifies the part is in stock and confirms its condition against the supporting documentation before providing a quote.
If the PO lands with the sales desk by 3 p.m. Eastern, the part ships that afternoon out of St. Johns, FL. Every part listed is in stock.
It comes down to how we operate. So when a part number is on site, someone can usually put hands on it the same day.
Why the 3 p.m. cutoff runs the same every day
The 3 p.m. Eastern cutoff gives buyers a reliable standard without overpromising.
When an order comes in before the cutoff, the team works to get it out that day. If timing is tight, they will often push to help. But some larger or more complex orders still take more handling.
The team works with urgency, but only makes promises it can stand behind.
